Getting equipment when there is no capital budget for it

The equipment is agreed, the need is real, and there is no capital budget left to buy it with. This is one of the most common reasons equipment sits unordered, and it is usually solvable. Financing moves the cost out of a capital request and into a fixed monthly amount that sits alongside your operating spend. What that amount is depends on the equipment, its price and the term you choose, so a real indicative figure for your exact setup, which takes about two minutes, is more use than any range on a page.

The problem is the budget line, not the money

Most organisations that cannot buy a piece of equipment can comfortably afford it. What they cannot do is find one large sum inside a capital budget that was set months ago and is already committed.

Those are two different problems. The second one has a straightforward answer. Financing converts a single capital outlay into a known monthly cost, which is the kind of spend most teams already have room for and already have authority over.

What changes when the cost is monthly

The equipment arrives now rather than at the start of the next budget cycle. The money that would have left the business stays in it. And the decision usually moves to a different person, because approving an ongoing operating cost is not the same conversation as approving a capital purchase.

That last point is the one that tends to unlock things. Plenty of equipment requests are not rejected, they simply queue behind a capital process that runs on its own timetable.

What the arrangements look like

There is more than one way to structure this, and the right one depends on whether you want to own the equipment at the end, how long you expect to use it, and what your organisation is set up to approve.

Rent to Own is the one most often used where ownership at the end matters: fixed monthly payments across the term, then one or two final monthly payments, depending on the arrangement, and the equipment is yours. See how Rent to Own works for the detail.

Other structures suit other situations. Someone from our team will work out which fits rather than pushing you toward one.

If you are buying for a school, council or institution

Institutional buyers usually hit the same two obstacles: the capital request itself, and the paperwork attached to whoever signs.

On Rent to Own, rental documentation can be signed by an authorised signatory without complex identification requirements. Director guarantees are not required up to $100,000 where applicable, and financial statements are not needed for amounts up to $250,000 ex GST, subject to credit criteria. For a business manager or procurement officer, that is usually the difference between a fortnight of chasing and an afternoon.

How the arrangement is recorded in your accounts is a question for your finance team. We will give them whatever figures they need.

What changes what you pay

The price of the equipment, the term you choose, whether it is new or used, and how long the organisation has been operating. Figures are ex GST.

Terms commonly run 48 to 60 months for most equipment. Clean technology and renewables can be arranged over up to ten years, because the asset earns across a longer life.

Which lender do I go to

You do not. Someone from our team compares lenders and arranges it, so you deal with one contact rather than repeating the same explanation to several. Nothing is settled until a funder has assessed it.

Common questions

Can we finance equipment if the capital budget is already spent?

Yes. That is the usual reason organisations finance rather than buy. The cost becomes a fixed monthly amount instead of one capital outlay.

Do we own the equipment at the end?

You can. On Rent to Own you make one or two further monthly payments at the end of the term, depending on the arrangement, and the equipment is yours outright. Your quote will show which applies to you.

Who needs to sign?

On Rent to Own, rental documentation can be signed by an authorised signatory, with no complex identification requirements.

Will we need to provide financial statements?

Not for amounts up to $250,000 ex GST, subject to credit criteria.

How is this recorded in our accounts?

That depends on your circumstances and your finance team is the right people to confirm it. We will provide whatever figures they need.

How long does it take to get a figure?

About two minutes for an indicative figure. The online application takes around ten minutes after that.
